Committee Agendas - 1 April 2026 - 31 March 2027

Dear Sir/Madam, 

I hereby give notice that a meeting of the Events Committee of Ruskington Parish Council will be held on Tuesday 7 April 2026 at 6.00pm at Ruskington Parish Office, 7-9 High Street North, Ruskington, NG34 9DY. Members of the public and press are welcome to attend and may ask questions or make short statements to the Committee during the Public Session. Alternatively, questions or statements can be submitted to the Clerk prior to the meeting. 

All members of the Events Committee are summoned to attend for the purpose of considering and resolving upon the business to be transacted at the meeting, as set out hereunder. 

Agenda 

1. To receive and accept apologies where valid reasons for absence have been given to the Parish Clerk prior to the meeting. 

2. To receive declarations of interest and to consider applications for dispensations in relation to DPIs. Disclosure of Pecuniary and Non-Pecuniary Interests is to be in accordance with the Localism Act 2011 and to consider any applications for dispensations in relation to DPIs.  The need for Disclosure is to be based upon agenda items or at any suitable time during the meeting when it becomes apparent to a member. 

3. To approve as a correct record the notes of the last meeting held on 17th March 2026. 

4. To receive an update on actions from last meeting.  

5. To consider advertising from outside agencies in the Elmtree noticeboard.  

6. May Day Event – 4th May 2026 

   6.1. To review confirmed attendees and draft a table plan for the day. 

   6.2. To consider catering and agree any expenditure. 

   6.3. To receive an update on the duck hunt.  

   6.4. To receive an update on the PA system.  

  6.5. To discuss volunteer/staff roles for on the day of event.  

   6.6. To agree any other actions and expenditure required for the event before the next meeting. 

7. Youth Day – 15th August 2026 

   7.1. To receive an update from the youth centre. 

  7.2. To discuss ideas for the Youth Day and draft a structure for the day.  

   7.3. To agree a list of groups and organisations to invite to the event. 

  7.4. To discuss advertising and poster ideas for the event.   

   7.5. To agree any other actions and expenditure required for the event before the next meeting. 

8. Christmas Market – 5th December 2026 

   8.1. To receive an update regarding applications from stall holders to date. 

  8.2. To discuss advertising and poster ideas for the event.   

   8.3. To agree any other actions and expenditure required for the event before the next meeting. 

9. To agree the dates and times for the next Event Committee meeting(s).  

      Currently scheduled for Thursday 30th April at 6pm.
