I hereby give notice that a meeting of the Events Committee of Ruskington Parish Council will be held on Monday 8th June 2026 at 6.00pm at Ruskington Parish Office, 7-9 High Street North, Ruskington, NG34 9DY. Members of the public and press are welcome to attend and may ask questions or make short statements to the Committee during the Public Session. Alternatively, questions or statements can be submitted to the Clerk prior to the meeting.
All members of the Events Committee are summoned to attend for the purpose of considering and resolving upon the business to be transacted at the meeting, as set out hereunder.

Agenda
1. To elect a Chair of the Events and Recreation Committee for the civic year.
2. To elect a Vice-chair of the Events and Recreation Committee for the civic year.
3. To receive and accept apologies where valid reasons for absence have been given to the Parish Clerk prior to the meeting.
4. To receive declarations of interest and to consider applications for dispensations in relation to DPIs. Disclosure of Pecuniary and Non-Pecuniary Interests is to be in accordance with the Localism Act 2011 and to consider any applications for dispensations in relation to DPIs. The need for Disclosure is to be based upon agenda items or at any suitable time during the meeting when it becomes apparent to a member.
5. To discuss the structure for the Events and Recreation Committee and consider an Events working party group.
6. To review the Terms of Reference for the Events and Recreation Committee and consider any amendments for recommending to full council.
Events
7. Celebration of Youth Day – 15th August
7.1. To receive an update on actions from the Events Committee meeting on 21st May 26.
7.2. To review list of attendees invited and consider any responses received.
7.3. To resolve any expenditure for advertising the event.
7.4. To agree any other actions and expenditure required for the event before the next meeting.
8. Christmas Market – 5th December
8.1. To review the applications from stall holders to date and agree next steps.
8.2. To receive update on possibility of borrowing stalls from another council.
8.3. To agree any other actions and expenditure required for the event before the next meeting.
9. To discuss dates for Events during 2027 for presenting to full council.
Recreation
10. To agree fees for hiring the Parkfield facilities following requests from Pilgrims Europe and a member of the pubic for a charity event.
11. MUGA surface conversion to a 4G surface
11.1. To receive the outcome of the Football Foundation application and review the terms and conditions.
11.2. To consider the public opening times and hire times of the 4G surface and arrangements for locking the facility, if applicable.
11.3. To consider any hire fees for the facility.
11.4. To consider any ongoing maintenance cost for the remainder of 2026/27 and any future costs for informing the budget for 2027/28.
11.5. To resolve to formally apply for the Section 106 money to cover the amount not covered by the Football Foundation Funding.
12. Lions JFC
12.1. To receive an update on the Lions JFC request to hold a tournament on 27th and 28th June and agree any actions for recommending to full council, if the terms and conditions are not signed and returned by the 17th June.
12.2. To receive an update of the 10-year lease agreement with the Lions JFC and agree any actions for recommending to full council, if the lease is not signed and returned.
13. To consider a new lease agreement and terms for Hillside Play Area following the correspondence from NKDC and make these recommendations to full council.
14. To consider the presentation and request for a portion of the Section 106 money from the Ruskington Bowls Club for recommendation to full council.
15. To agree the dates and times for the next Events and Recreation Committee and/or working party meeting(s).
Meetings currently scheduled for Tuesday 30th June, Tuesday 1st September and Tuesday 1st December. Tuesday 30th June to be rearranged.
